Stanford University has an immediate opening for a full-time Graduate Admissions System and Operations Analyst in theOffice of Graduate Admissions, the operational backbone for campus-wide graduate admissions processes spanning more than 70 departments across five schools. Reporting to the Graduate Admissions System and Operations Manager, this role will specify requirements and perform system configuration for a campus-wide application management system (Slate by Technolutions) to deliver a seamless experience for applicants and improve graduate admissions workflow, production, efficiency, and effectiveness for departmental staff and faculty.

Your primary responsibilities include:

Slate Administration (65%)

  • Build and maintain system components to support the full life cycle of the graduate admissions operation — application, evaluation, and decisions — using independent judgment to create sustainable business processes while balancing customization needs for 130 graduate programs.

  • Perform routine data audits, consolidate duplicate records, and execute retention policies in compliance with best practices for database management.

  • Develop technical solutions to streamline central graduate admissions operations using a combination of forms, mailings, and other Slate functionality.

  • Build complex queries and reports using configurable joins to support central graduate admissions operations and internal data requests.

  • Serve as security administrator to manage system permissions for approximately 2,000 staff, faculty, and student users.

  • Develop central and department-facing help guides and contribute to training videos and related communications to foster a campus-wide culture of continuous learning in Slate.

  • Perform light web development to maintain custom portals.

  • Collaborate with technical staff in partner offices to set up and troubleshoot data integrations between Slate and other campus systems.

  • Implement new processes in Slate to address campus-wide operational needs in the areas of graduate recruitment and non-degree applications.

Customer Service (20%)

  • Build positive working relationships with departmental admissions staff through one-on-one consultations to provide technical guidance during key phases of the admission cycle (cycle prep, cycle kickoff, evaluation, and decisions).

  • Respond to inquiries from departmental admissions staff ranging from general policy questions to complex technical issues.

  • Respond to a high volume of technical support requests from applicants and recommenders, ranging from routine low-level requests to highly complex issues that require critical thinking and problem-solving skills to resolve the root problem.

Central Graduate Admissions Operations (15%)

  • Evaluate post-secondary academic credentials and English proficiency test results for incoming graduate students to determine eligibility for matriculation.

  • Process application change requests from departments (program/term changes, withdrawals), making the requisite data entries in Slate and PeopleSoft.

  • Review non-degree applications to confirm eligibility and enter the necessary data in PeopleSoft to create non-degree student records.

  • Assist with other operational processes as needed, including fee waiver requests, TOEFL waiver requests, and official transcript processing.

In addition, preferred requirements include:

  • Experience in Technolutions Slate CRM and PeopleSoft.

  • Familiarity with graduate admissions processes and best practices.

  • Good working knowledge of HTML, CSS, and JavaScript.

  • Advanced skills in Microsoft Excel / Google Sheets, including lookup functions and pivot tables.

Working Conditions:

  • This is a hybrid position requiring at least two days of onsite work per week at the Stanford Redwood City campus.

  • May work extended hours, evenings and weekends.

The expected pay range for this position is $80,000- 104,100 per annum.
