Job Overview:

APTIM's Energy Transition seeks an Administrative Manager for our Focus on Energy Team. This position is based in Wisconsin and responsible for supervising staff, facilitating communication, and developing procedures to make the workplace more efficient. This role may involve direct engagement with utility customers, Program Implementers, and software providers. The position reports to the Portfolio Operations Director and is part of the Operations Group.

Focus on Energy is one of the longest standing energy efficiency and clean energy programs in the country. This award-winning program serves 107 utility territories across the Wisconsin market and supports more than 50,000 energy efficiency projects annually. Additionally, Focus on Energy was recently awarded the implementation work for the federally funded IRA Home Energy Rebate programs. APTIM's role as the Program Administrator is to develop and manage energy-savings programs vital to residential and business customers throughout the state.

Our consultants proactively collaborate with clients to define and implement strategies and campaigns around key business drivers, with the primary focus of finding and delivering high-impact projects exceeding expectations and meeting the unique needs for our commercial and retail clients.

The Administrative Manage r will supervise daily support operations of our team and plan the most efficient administrative procedures. You will lead a team of professionals to complete a range of administrative duties in different departments. work with cross-functional teams to deliver key products and services essential to the success of Focus on Energy. Utilizing a wide range of skills, the Administrative Manager will be responsible for office management, customer support, and other aspects of the Focus on Energy participant experience. The successful candidate will be energetic, motivated, and have a "How can I help you" attitude to support the team as well as current and future Focus on Energy participants. Key Responsibilities/Accountabilities:

  • Work as part of an energy efficiency team ensuring the administration, implementation, and verification of a utility-sponsored energy efficiency program is successfully executed

  • Develop and maintain positive efficient working relationships with customers, team members, program partners, and vendors; ensure program partners' needs are identified and addressed.

  • Hire, onboard, and train administrative staff including customer support and office management. Assess staff performance and provide coaching and guidance to ensure maximum efficiency.

  • Delegate tasks to administrative assistants and customer support representatives.

  • Develop strong relationships with cross-functional teams.

  • Ensure team is operating efficiently and effectively by creating processes and procedures and maintaining the Administrative Operational Procedures Guide

  • Conduct QA/QC of processes and protocols, offering improvements and recommendations

  • Learn, manage, and train on the customer support software and develop customer service best practices and call center objectives.

  • Provide oversight on implementation and updates to the CRM and other internal customer service systems to ensure accurate, positive, and timely interactions with customers.

  • Analyze data to prepare or review operational reports.

  • Support staff responsible for inventory of office supplies and the purchasing of new material with attention to budgetary constraints.

  • Supervise other office activities (recycling, renovations, event planning, etc.).

  • Any other duties as assigned.

  • Ensure compliance with all APTIM quality and safety policies as well as all OSHA regulations.

Basic Qualifications:

  • Bachelor's degree from an accredited four-year college or university or equivalent work or industry experience.

  • 4+ years' administrative and/or customer service experience.

  • Commitment to fostering a collaborative work environment within the team and the broader organization.

  • Ability to work independently and within a team environment.

  • Proficient in Microsoft Office software: Excel, Word, PowerPoint, Outlook, SharePoint.

  • Sound business ethics, including the protection of proprietary and confidential information.

  • Ability to apply detailed knowledge of organizational procedures to make independent decisions and serve as a credible resource for a senior management team.

  • Ability to work with all levels of internal staff, as well as outside clients and vendors.

  • Excellent problem-solving skills with ability to analyze situations, identify existing or potential problems and recommend solutions.

  • Strong written and oral communication skills and experience with client engagement and coordination.

  • Strong quantitative and analytic capabilities including report writing and spreadsheet analysis.

  • Must be a self-starter, organized and have an ability to manage competing priorities with tight deadlines.

  • Tangible and documented operational management experience.

Desired/Preferred Qualifications:

  • 3+ years' experience in the energy efficiency industry preferred.

  • Understanding of energy efficiency technologies and energy-saving solutions.

  • Knowledge of Microsoft Dynamics.

  • Proficiency with Zendesk or other customer service software.
