Position Summary

The mission of University Advancement is to secure support for Michigan State University in terms of money, talent, service, and advocacy by delivering an integrated program of communications, marketing, and engagement. Our objective is to build deep and long-term relationships with alumni, other stakeholders, and potential partners that will ensure increased support in the future.

Basic Function

A valued member of the Business Process Improvement & Analysis (BPIA) team within Advancement Services, theBusiness Analystis dedicated to enhancing the efficiency, effectiveness, and agility of operations within the University Advancement division. Through data-driven analysis, innovative strategies, and collaborative partnerships, we strive to optimize processes, maximize resource utilization, and ultimately support University Advancement’s mission of advancing philanthropy for college access, student success, public outreach, and life-changing research.

Reporting to the Sr. Associate Director of Business Process Improvement, the key responsibilities of the Business Analyst include, but are not limited to, the following:

Characteristic Duties and Responsibilities

The Business Analyst will conduct process assessments, identify improvement opportunities, elicit and model requirements, and collaborate with stakeholders to design and implement optimized workflows and procedures.

The Business Analyst will:

Requirements Gathering, Processes and Solutions Collaboration:

  • Collaborate with project managers to define project scope, objectives, and deliverables.

  • Work closely with business stakeholders to understand their needs, objectives, and challenges.

  • Elicit, document, and analyze business requirements, processes, and workflows.

  • Translate business requirements into clear and concise functional specifications for technical teams.

  • Collaborate with technical teams for solutions that meet business needs.

  • Propose innovative and practical solutions to address business challenges.

Process Development and Documentation:

  • Create detailed documentation, including business requirements, process flows, use cases, and user stories.

  • Monitor project progress and identify potential risks or deviations from the plan.

  • Maintain accurate and up-to-date project documentation throughout the project lifecycle.

  • Write and develop user stories/use case scenarios to facilitate integrations and end-to-end testing.

  • Collaborate with stakeholders across departments to ensure consistent and successful information delivery.

Analysis:

  • Identify areas for process optimization and efficiency enhancement.

  • Recommend process improvements and assist in their implementation.

  • Compare, evaluate, and generate information strategy concepts and delivery processes.

  • Respond to questions on content and use, as needed.

Quality Assurance:

  • Assist where pertinent in creating test cases for testing and quality assurance activities.

  • Ensure that delivered solutions meet the specified requirements and are of high quality.

Communications/Interpersonal Relationships

Interacts with:

  • Consults with leaders and teams across the campus to identify, diagnose, and problem-solve organizational development and effectiveness problems and solutions. Implements work group intervention strategies. Create team processes for optimizing results.

  • Collaborate with project and functional teams, which may consist of diverse professionals and subject matter experts on a cross-functional, campus-wide, and business unit basis.

Impact on Programs/Services/Operations

This function is critical and a significant foundation for the work of fund-raising and alumni relations. Business Process Improvement will identify, plan, and implement key projects to improve quality, reduce costs, increase productivity, and improve cycle time by reducing wasted time, rework, etc., resulting in significant business improvement and customer satisfaction.

Work Environment

Hybrid office environment. The job requires moderate physical effort and involves sitting and interacting with a VDT 75-90% of the time.

Unit Specific Education/Experience/Skills

The job requires:

  • Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Computer Science, Information Systems, Business, or related information technology field, with coursework in an information technology specialization related to the area of employment.

  • One to three years of related and progressively more responsible or expansive work experience in an information technology area related to the duties to be performed.

  • Or an equivalent combination of education and experience.

Desired Qualifications

  • 1-3 years of business, customer relations, workflow, analysis, and other industry-related knowledge.

  • Bachelor’s degree or equivalent combination of education and experience.

  • Strong organizational skills with attention to detail.

  • Proficiency in requirement-gathering techniques, process modeling, and documentation.

  • Familiarity with project management methodologies and software development lifecycle.

  • Certification in Business Analysis (e.g., CBAP, CCBA) is advantageous.

  • Familiarity with Salesforce preferred.

  • Familiarity with Cognos preferred.

  • Familiarity with Agile and Scrum approach preferred.

  • Experience working with complex, relational databases.

  • This position requires that prior to the completion of the probationary period, knowledge of basic personal computer terminology and operations and the ability to use e-mail and the Internet.
