HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • The Administrative Assistant (AA) manages a briefing space at an alternate Washington DC area location

  • As such, the AA also manages the calendar and access list for this location

  • The AA must work well in a team environment, have strong written and verbal communication skills, exercise discretion regarding access to sensitive information, and conduct themselves accordingly with customers and in front of audiences

  • The AA will be responsible for validating that individuals have been granted the clearance approvals to be read into appropriate classified data and/or programs, and for notifying the requestor if it is necessary to update or resubmit clearance requests

  • In addition, to this administrative support, the AA may facilitate a segment of the briefing related to the classified data/programs

  • The AA will review database information to validate that the individual has been granted approval for access

  • Upon validation that the access information is accurate in the database, the AA will produce and print the correct forms in preparation for the individual's briefing and signature

  • The AA will respond in a timely manner to inquiries from the customer on the briefing requirement for their personnel, to include specific briefing offerings and available seating based on day and location

  • Upon completion of security briefings, the AA will assist with scanning applicable security forms into the sponsor's clearance tracking database for archival purposes

  • The AA will need to be able to travel within the Washington metro area using sponsor-owned or personally-owned vehicles to briefing locations and may need to be on their feet during presentations

  • There are no extended or on-call hours associated with this position

  • The AA will execute registrar duties by registering learners, capturing briefing completion and updating internal applications as needed

  • Additionally, on a monthly basis, the AA will provide summary statistics related to number ofbriefings (attendees) provided to assist in justification of budget execution

  • The AA will independently schedule required briefings offerings in response to the Sponsor's dynamic security needs, as well as the needs of external partner Organizations to meet mission needs

  • The AA will be responsible for independently establishing and maintaining contacts with the respective security representatives from external customers

  • The AA will occasionally process visitor requests, scan, copy, file, fax and create records on an as-needed basis in support of all workflow duties

  • The AA will also communicate with customers over fax, scan, email, and telephone as needed

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Eight core hours per day within the 6am and 4pm timeframe will need to be established and kept

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
