Whole Foods Market Senior Travel and Expense Program Coordinator in Austin, Texas

Job DescriptionResponsible for efficient and compliant operation of WFM Travel & Expense. Administer SAP Concur system and work with the various internal business and external partners to streamline how WFM travels and uses company cards, focusing on partnership, transparency, integrity, and ease of procurement. Strives to maximize process effectiveness and minimize costs.

Additional Information:

• This role will observe the 3-day hybrid office model and be based in Austin, TX.

Responsibilities:

  • Maintain and update the company's Travel and Expense Policy, ensuring it aligns with industry best practices and regulatory requirements.

  • Communicate policy changes to employees clearly and effectively through various channels (e.g., email, training sessions, intranet).

  • Develop and implement mechanisms to promote policy compliance, including expense reporting guidelines and approval workflows.

  • Monitor expense reports for adherence to policy and identify potential discrepancies.

  • Administer the SAP Concur system, including user management, configuration settings, and system maintenance.

  • Assist employees and stakeholders with navigating the Concur system for booking travel, submitting expense reports, and accessing reports.

  • Generate reports from Concur to analyze travel and expense trends and identify areas for cost savings or process improvement.

  • Manage the company's P-card (Purchasing Card) program, ensuring responsible cardholder behavior and adherence to spending limits.

  • Oversee the P-card application process, including cardholder onboarding and training.

  • Partner with the Accounting and Payroll teams to troubleshoot any expense accrual errors or discrepancies.

  • Act as a liaison between users and the T&E program, addressing inquiries and resolving issues promptly.

  • Participate in continuous improvement initiatives to enhance the efficiency and effectiveness of the T&E program.

  • Assists with other projects as assigned.

Skills:

  • Proficient in the use of standard procurement tools and methods

  • Capable of performing mathematical and statistical analyses.

  • Skilled in Excel, PowerPoint, Word, product improvement software, and data analysis / query software.

  • Strong understanding of travel and expense policies and procedures.

  • Proficiency in SAP Concur or similar T&E management systems.

  • Experience with P-card programs and administration is a plus.

  • Excellent communication, interpersonal, and organizational skills.

  • Ability to work independently and manage multiple priorities effectively.

  • Strong analytical skills and attention to detail.

  • Understands the standard project management methodologies and requirements.

  • Plans, estimates, organizes, and monitors projects.

  • Understands the WFM product mix, supply base, and retail operations.

Education & Experience:

  • BA/BS degree and 2-4+ years’ relevant experience OR equivalent combination of education and relevant experience.

  • Previous exposure to Travel & Expense Program

Nice to have:

  • Coupa Certification

  • Experience in Business Process analysis and design.
